Dance Envy is committed to protecting the privacy and personal information of our dancers, parents and carers.

This Privacy Policy explains what personal information we collect, why we collect it, how we use it, who we may share it with and how we keep it secure.

Dance Envy provides dance classes and related activities for children and young people.

For the purposes of UK data protection law, Dance Envy is responsible for the personal information it collects and uses in connection with its services.

When a child is registered with Dance Envy, we may collect personal information about both the child and their parent or carer.

  • Emergency contact details
  • Medical conditions, allergies, injuries, disabilities or additional needs relevant to participation
  • Class bookings and attendance information

  • Information relating to examinations, performances, competitions, workshops, camps or other Dance Envy activities
  • Communications between Dance Envy and parents/carers
  • Any other information reasonably necessary to provide our services and support the safe participation of dancers

  • Register your child with Dance Envy
  • Book or pay for a class, trial, workshop, camp or other activity
  • Complete a registration, consent or booking form
  • Contact us by email, telephone, social media or through our website
  • Attend Dance Envy classes, performances, competitions or other events
  • Provide us with updated information about you or your child

Dance Envy uses ClassForKids to manage class registrations, bookings, payments and certain information relating to dancers and their parents/carers.

We may use personal information to:

  • Manage registrations and class bookings
  • Process and record payments
  • Maintain class registers
  • Manage trials and term bookings
  • Contact parents/carers about their child's classes and participation
  • Respond to enquiries
  • Maintain emergency contact details
  • Record relevant medical information, allergies and additional needs
  • Support the health, safety and welfare of dancers
  • Manage performances, examinations, competitions, workshops, camps and other activities
  • Record and manage photography and video permissions
  • Fulfil our safeguarding responsibilities
  • Maintain appropriate business and financial records
  • Meet our legal and regulatory obligations

We will only use personal information where we have an appropriate reason and lawful basis to do so.

5. Children's, Medical and Safeguarding Information

As Dance Envy works with children and young people, we may need to hold information relating to a child's health, medical needs, allergies, disabilities or additional needs.

This information will only be used where necessary to support the child's health, welfare and safe participation in Dance Envy activities. Access will be limited to those who reasonably need the information.

Dance Envy is committed to safeguarding the welfare of children and young people and recognises its responsibility to protect children participating in its activities.

Information relating to a safeguarding concern will be handled carefully. Where necessary, information may be shared with relevant safeguarding professionals, local authorities, the police, emergency services or other appropriate organisations in order to protect a child or young person.

6. Photographs and Videos

Dance Envy may take photographs or videos during classes, performances, shows, competitions and other activities.

Where photographs or videos are intended to be used for promotional purposes, including on Dance Envy's website, social media or other promotional materials, they will be used in accordance with the permissions provided by the child's parent/carer.

Parents/carers may change or withdraw their consent for future use by contacting Dance Envy.

7. Sharing Personal Information

Dance Envy does not sell personal information to third parties.

We may share personal information where reasonably necessary with organisations that help us provide our services. These may include:

  • Our class booking and management provider
  • Payment processing providers
  • Website and technology providers
  • Venues and activity providers where appropriate
  • Examination, performance or competition organisations where a dancer is participating
  • Professional advisers and service providers
  • Safeguarding organisations, local authorities, police, emergency services or other relevant authorities where necessary

We will only share information where there is an appropriate reason to do so.

8. ClassForKids and Online Payments

Dance Envy uses ClassForKids to help manage class registrations, bookings, payments, registers and parent/carer information.

Information entered into ClassForKids will also be processed through their systems and will be subject to their applicable privacy and data protection arrangements.

Payments may be processed by third-party payment providers. Dance Envy does not necessarily receive or store full debit or credit card details used to make an online payment.

9. How We Keep Information Secure

Dance Envy takes reasonable steps to protect personal information from loss, misuse, unauthorised access, alteration or disclosure.

Access to personal information will be limited to those who reasonably require it to operate Dance Envy and provide safe and effective classes and activities.

10. How Long We Keep Information

Dance Envy will only retain personal information for as long as reasonably necessary for the purposes for which it was collected.

Some information may need to be retained for longer where this is necessary to meet legal, safeguarding, insurance, accounting or other legitimate record-keeping requirements.

When personal information is no longer required, it will be securely deleted or disposed of where appropriate.

Depending on the circumstances, you may have rights under UK data protection law in relation to your personal information. These may include the right to:

  • Ask what personal information we hold about you or your child

12. Marketing Communications

Dance Envy may occasionally wish to contact parents/carers about relevant classes, workshops, camps, events or other Dance Envy news.

Where consent is required, parents/carers will be given a separate choice about whether they wish to receive marketing communications.

You can change your preference or unsubscribe from marketing communications at any time by contacting Dance Envy or using an unsubscribe option where provided.

Choosing not to receive marketing communications will not prevent Dance Envy from sending essential information about your child's classes, bookings, payments, safety or participation.

13. Changes to This Privacy Policy

Dance Envy may update this Privacy Policy from time to time to reflect changes to its services, systems or legal requirements.

The latest version will be made available to parents/carers, and the date at the top of this policy will show when it was last updated.
